A cleaning request checklist before you quote

“How much would cleaning cost?” is a useful opening, but it does not define the job. A short intake checklist can organize the request without pretending that every property can be priced remotely.
Define the requested service
Ask whether this is a regular clean, a one-time deep clean, a move-out clean or another service you actually offer. Establish whether the property is residential or commercial and which spaces are included. Do not turn a customer’s broad phrase into an agreed scope without checking it.
Record size and condition separately
An approximate area helps, but it is not the same as a measured area or a description of the condition. Ask about rooms, bathrooms, kitchens, occupied or empty spaces and unusual work. Keep “about 1,200 square feet” approximate. Do not automatically convert an uncertain measurement into an exact quote input.
Clarify frequency, timing and access
Record whether the customer wants one visit or recurring work, a preferred date and any access restrictions. Security codes, key details and private documents should be shared through a suitable private process, not a public example or open comment thread. Explain what information you need now and what can wait until a booking is agreed.
Ask about materials and exclusions
Identify delicate surfaces, areas that should not be entered and work that falls outside your service. Where a request may involve hazardous materials or specialist treatment, use your own qualification and assessment process. An AI summary is not a safety assessment.
Show what remains unknown
Fictional request: “A two-bedroom apartment, around 900 square feet, after the tenant moves out. Friday if possible.” Useful facts include property type, approximate size, occasion and preferred day. Missing facts may include the actual condition, appliance cleaning, window cleaning, exact date and access. Ask the questions that affect your service instead of silently filling in defaults.
Choose the right next step
Some requests can move to an estimate after clarification. Others need a visit or further information. A customer video can add a spoken explanation, but a transcript alone cannot establish visual condition. The business must decide when the evidence is sufficient.
